ProMate (“we,” “us,” or “our”) is committed to protecting the privacy of our users and the customers who interact with businesses using our platform. This Privacy Policy explains how we collect, use, disclose, and safeguard information in connection with our service.

1. Data We Collect
We collect information in the following categories:
- Business owner account data: Name, email address, business name, and billing information collected at signup.
- Customer contact data: Phone numbers, SMS message content, and MMS media (photos) sent by end-customers when they interact with a business using our platform.
- Booking data: Name, phone number, appointment date/time, job description, zip code, and Stripe payment confirmation reference when a customer books a service.
- Usage and log data: API request logs, server-side error reports, and performance metrics used for debugging and service improvement.
We do not collect sensitive personal information such as government-issued IDs, financial account numbers (card data is handled exclusively by Stripe), or health information.
2. Use of Information
We use the information we collect to:
- Operate, maintain, and improve the ProMate platform.
- Deliver AI-generated SMS responses to end-customers on behalf of subscribing businesses.
- Process bookings and Stripe subscription payments.
- Display appointment and conversation data in the business owner’s dashboard.
- Send transactional emails and service notifications to business owners.
- Comply with legal obligations and enforce our Terms of Service.
We do not use customer SMS data for advertising, profiling, or any purpose other than delivering the booked service workflow described above.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
ProMate operates as an Application-to-Person (A2P) messaging platform registered under the 10DLC (10-Digit Long Code) framework administered by The Campaign Registry (TCR). Our messaging campaigns are used solely for transactional and operational communications between registered businesses and their customers.
Opt-in: End-customers implicitly consent to receive SMS messages when they initiate contact by calling or texting a business phone number powered by ProMate. Businesses using our platform are responsible for ensuring they have a lawful basis to contact their customers via SMS.
Opt-out: End-customers may reply STOP at any time to unsubscribe from further messages from a specific business number. Reply HELP for assistance. Message and data rates may apply.
Message frequency: Message frequency varies based on customer interaction with the service.
4. Data Sharing
We share data only with trusted sub-processors required to operate the service:
- Twilio Inc. — for SMS/MMS message delivery and phone number management.
- OpenAI, L.L.C. — for AI-generated SMS response text. Message content is processed in accordance with OpenAI’s API data usage policies.
- Supabase Inc. — for database storage of appointment and SMS log records.
- Stripe, Inc. — for payment processing. Card data never touches our servers.
- Clerk Inc. — for business owner authentication.
We do not sell, rent, or share personal information with third parties for their own marketing purposes.
5. Data Retention
SMS logs and appointment records are retained for as long as the associated business account remains active, and for up to 90 days after account deletion, unless a longer retention period is required by law.
Business owners may request deletion of their data and associated customer records at any time by contacting us at the address below.
6. Security
We implement industry-standard safeguards including TLS encryption in transit, AES-256 encryption at rest (via Supabase), row-level access controls, and authenticated API routes protected by Clerk. Media files (MMS photos) are served exclusively through a server-side authenticated proxy — they are never exposed directly to unauthenticated browsers.
No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but are committed to using commercially reasonable measures to protect your information.
7. Children's Privacy
ProMate is a business-to-business service not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
8. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete personal data we hold about you, or to restrict or object to certain processing activities. To exercise these rights, contact us at support@promate.com.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered business owners of material changes via email or an in-app notice at least 14 days before the changes take effect. Continued use of the service after that date constitutes acceptance of the updated policy.
